With the Payment21® E-Signature Tool, merchants can upload their user-data online and request authorization by e-mail saving them time and the cost of collecting the authorization manually, i.e., collecting physical signature on authorization documents.
The E-Signature Tool offered by Payment21® works in three easy steps:
- Merchant sends an authorization request via e-mail to customer
- Merchant simply adds the customer's e-mail address to the E-Signature Tool
- Payment21® provides the authorization document form to be used
- Merchant sends an e-mail to the customer containing a link to the authorization request document
- Customer signs the authorization
- Customer receives the e-mail with the authorization request
- Customer can review the authorization request in the Web browser
- Customer signs the document instantly and submits the authorization
- Authorization document is filed automatically
- Payment21® securely archives all the ACH Debit authorization and authentication documents
- All parties receive electronic copies of the signed authorization document
What happens if a dispute arises?
- Merchant can access the ACH Debit authorization and authentication documents on Payment21® secure archives
- Merchant can e-mail the authorization documents or the authentication QR codes to the bank for review
- The QR code resolves to link showing the original e-signature with all the authentication details
Unique features of the Payment21® E-Signature Tool
- SSL (Secure Sockets Layer) using up to 256-bit AES (Advanced Encryption Standard) encryption for data in motion when accessing the application from the Internet
- The authenticity of the signer’s e-signature is ensured by attaching a unique Quick Response Code (QRC) to the signed document
- QRC stores information such as signer’s name, DOB, phone number, e-mail, merchant details, credentials, and the IP-address confirming date and time of the e-signing process
- The signatory’s identity is protected by the encryption of personal details when generating the QRC
- Smartphone users can convert the displayed code to a URL directing them to the website where the document is securely stored
